Stock control for live events

  • ScopeEvery unit of stock, from store to counter
  • ConditionsWorks offline, because event grounds rarely have signal
  • CycleReconciled before the night is over

Before

Stock moved on phone calls and messages. Paper invoices arrived shortly before doors opened, counting was done by hand late at night, and the difference between what was poured and what was taken only emerged days later, when nobody could account for it.

After

Bars close their books on the night. Operators see where losses occur, bar by bar, and organisers get full visibility. It is used at events run by some of the largest names in live entertainment.

What we built

A platform that records every movement of stock with its source, destination, quantity, time and the person responsible. Requests, approvals, transfers between bars and end-of-night counts all run through it, including part-used bottles, and it compares stock consumed against sales. It works offline by design, because event grounds rarely have reliable connectivity. We also reshaped how stock moves on site, since the process itself needed work.
